The Auto Credit Tool allows participants to easily withdraw from your event in exchange for a credit toward a future event hosted by you. This feature streamlines the process, reducing administrative workload, enhancing participant satisfaction with added flexibility, and increasing retention by encouraging future event participation.
By enabling the Auto Credit Tool, you:
✔ Minimize manual refund requests and save time
✔ Provide participants with an easy, self-service withdrawal option
✔ Retain participant commitment by encouraging them to join another event
To set up the auto credit:
1. Log in to your Event Director Account
2. Navigate to Event Setup
3. Click Category Setup > then either Add Category or click edit next to an existing category
4. Scroll down and click the check box next to Allow participants to remove themselves from this category in exchange for a credit
5. Once you have selected the auto credit box, you will enter the following:
- Percentage of entry credit when it's withdrawn: Decide the percentage of the original registration fee participants will receive as a credit. For example, if the original fee was $50 and you set this to 100%, they will receive a $50 credit for a future event.
- Available until: Set a deadline for when participants can withdraw their entry for a credit. For example, if you don’t want participants to withdraw within 7 days of the event, set this date accordingly.
- Credits Expire On: Specify the expiration date for the credits. If you want the credit to be valid for one year from your event date, set the expiration accordingly. After this date, participants will no longer be able to use their credit.
6. After making the adjustments, click SAVE.
How do the participants remove themselves from the event in exchange for a credit?
- Participants will first need to navigate to the edit entry page, where they will find the option to withdraw their entry.
- Next they will see a pop-up asking them to confirm that they would like to withdraw their entry in exchange for a credit.
- They will see the following confirmation message and receive an email with a credit code to use for one of your future events. They can also locate their credit in their account.
