The Event Day Check-In tool provides real time access to participant data, allowing you to check in registered participants, manage merchandise pickups, assign bib numbers, and even register new participants on event day.

To use the Event Day Check-in tool, log in to your Event Director account, and select your event.
On the left-hand side, select Registration Data, then Event Day Check-In.
Admin Settings/ Adding Volunteer Access
Under the Admin tab, you can customize your check-in view:

Choose which participant details to display (e.g., team name, phone number, custom questions).

Enable volunteer access:

Toggle Allow Volunteer Access to generate a check-in link for volunteers. The volunteers can follow the URL created to check-in participants

Volunteers can then check in participants without full admin access.

You can set or revoke access at any time.

Participant Check-In

Search participants by name, team, email, bib number, or confirmation number.

Or, scan the participant’s QR code using your device’s camera.

View participant details, including waiver status.

If waivers are incomplete, click Email Waiver to send a signing link.

Assign a bib by entering the number in the Bib field, then click Check In.

Mark any merchandise as picked up, if applicable.

If cash payments are enabled, enter the cash amount received and mark the participant as paid.
You can use this tool to check people in who have registered online using a credit card or (if enabled) intend to pay for their event-day entry with cash.
If the registrant paid with cash, you’ll see a field you can use to enter the amount of payment they’re submitting as well as mark their entry as paid.
If the participant has already paid for their entry online, you’ll see a button to check them in.
In both cases, you’ll be able to assign them a bib number when you check them in.

Marking Participants as "Finished"
After the event, return to the Event Day Check-In page to mark participants as “Finished” when they return safely:

Search the participant.

Click Finished instead of Check In.
